Crew Assist ("we," "us," "our") is operated by Crew Assist, LLC, based in Texas. We provide a scheduling, crew connection, and contract reference tool for airline crew professionals at crewassistapp.com. Questions about this policy can be directed to info@crewassistapp.com.

2. Information We Collect

Information you provide directly

Information from Google Calendar (if connected)

If you choose to connect your Google Calendar, we request read-only access limited to the calendar.readonly scope. We access only event titles, dates, and times to identify flight legs in your schedule. We do not read personal events, contacts, emails, or any other Google data. We do not store raw calendar event data beyond what is needed to populate your trip schedule in the app.

Our use of data received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information collected automatically

• Basic usage logs (pages visited, features used) for debugging and improvement
• Browser type and device type for compatibility purposes
• IP address (retained briefly in server logs, not stored long-term)

We do not use advertising trackers, third-party analytics pixels, or behavioral profiling tools.

3. How We Use Your Information

• Providing the Service: Displaying your schedule, matching you with crew on the same flights and layovers, generating personalized contract Q&A answers
• Flight Status: Your flight numbers and dates are sent to AeroDataBox (our flight data provider) to retrieve live status information. No personal identifying information is shared with AeroDataBox.
• Push Notifications: If you opt in, we use your push subscription token to send flight alerts and crew match notifications. You can revoke this at any time in your browser settings.
• Schedule Sharing: When you share a trip or conversation, we generate a private link. Only people you share the link with can view that content.
• Communications: We may send transactional emails (account setup, password reset, schedule share notifications). We do not send marketing emails without your explicit consent.
• Improving the Service: Aggregate, anonymized usage patterns help us identify bugs and improve features. We do not sell or license this data.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We share data only in the following limited circumstances:

With other Crew Assist users

The crew matching feature displays your name, airline, base, and overlapping layover or flight dates to other matched crew members. You control what schedule information you enter into the app. You can opt out of crew matching at any time.

With service providers

• Netlify — hosting and serverless functions (your data is stored in Netlify Blobs)
• AeroDataBox / RapidAPI — flight status lookups (flight number and date only, no PII)
• MailerLite — transactional email delivery
• OpenAI — AI contract Q&A (your questions and contract context are sent to OpenAI; we do not send your name, email, or schedule data)
• Google — Calendar API integration (if connected)

Each provider is bound by their own privacy policies and data processing agreements.

Legal requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Crew Assist, our users, or the public.

5. Data Storage and Security

Your data is stored in Netlify Blobs, hosted on infrastructure in the United States. We implement reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) for all data in transit. However, no system is 100% secure, and we cannot guarantee absolute security.

We retain your account data for as long as your account is active. Schedule and trip data is retained until you delete it or close your account.

6. Google Calendar Data — Specific Disclosures

In compliance with Google's requirements for apps using Google API data, we make the following specific disclosures:

• We request only the minimum necessary scope: calendar.readonly
• Calendar data is used only to identify flight events and populate your Crew Assist trip schedule
• We do not use Google Calendar data for advertising or to build user profiles
• We do not share Google Calendar data with third parties except as described in Section 4
• We do not allow humans to read your Google Calendar data unless you explicitly request support and consent to it for troubleshooting
• You can disconnect Google Calendar at any time in your account settings, which revokes our access immediately
• To fully revoke access, visit myaccount.google.com/permissions

7. Your Rights and Choices

• Access: You can view the data stored in your profile at any time within the app
• Correction: You can update your profile information in the app settings
• Deletion: Email info@crewassistapp.com to request deletion of your account and all associated data. We will process requests within 30 days.
• Push notifications: You can revoke push notification permissions in your browser or device settings at any time
• Google Calendar: Disconnect at any time in account settings or via Google's permissions page
• Opt out of crew matching: You can remove your schedule from crew matching at any time by deleting your trips

California residents may have additional rights under the CCPA. EU/EEA residents may have additional rights under GDPR. Contact us at info@crewassistapp.com to exercise any applicable rights.

8. Children's Privacy

Crew Assist is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If we become aware that a child under 18 has provided us with personal information, we will delete it promptly.

9. Third-Party Links

The Service may contain links to third-party websites (such as FlightAware). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
